The pro rata formula is short enough to memorize, but the worked examples below are where it clicks, including the rounding issue that makes hand calculations drift by a cent or two.
The formula
For each participant:
- Their fraction = their share ÷ sum of all shares
- Their amount = total × their fraction
"Share" can be anything measurable: days, square meters, hours, units ordered. The calculator just needs the numbers.
Example 1: an electricity bill split by days present
Total bill: $180. Alice was home 20 days, Ben 10 days. Shares sum to 30.
- Alice: 180 × 20/30 = $120
- Ben: 180 × 10/30 = $60

Total rent: $2,100/month. Three rooms: 15 m², 12 m², 9 m² (sum = 36).

The rounding trap
Split $100 three ways pro rata by equal shares. Each person owes 100 × 1/3 = 33.333… Round to cents and you get 33.33 × 3 = $99.99. A cent has vanished. The standard fix (used by payroll systems and invoicing software) is the largest remainder method: round everyone down first, then hand the leftover cents one at a time to whoever lost the most in rounding. One person pays 33.34, the others 33.33, and the total stays exactly $100.
When you split money with people, always check that the parts add back up to the total. If they don't, it's rounding, not math.
Common mistakes to avoid
- Dividing by the number of people instead of the sum of shares. That's an equal split, not pro rata. The two only match when all shares are equal.
- Mixing units. If shares are days, everyone's share must be in days.

What's the difference between pro rata and percentage?
A percentage is a share expressed out of 100. Pro rata is the act of allocating by share. Owning 25% of something and receiving a pro rata allocation of 25/100 are the same math, different phrasing.
How do I split a bill by different items rather than shares?
Group each item under the person who ordered it, then pro rata the shared parts (tax, tip, delivery fee) by each person's subtotal. Enter those subtotals as the shares.
Can pro rata shares be negative or zero?
Zero is fine; that participant simply gets nothing. Negative shares have no practical meaning for splitting bills or salaries.
